Peace of mind policies:

Skip down to the official, legalese version of our cancellation policy if you like. But here are the nuts and bolts, in plain language.

Guaranteed departures

Sign up for a Boreal River Adventures trip and you’re guaranteed to go. We won’t ever cancel due to low numbers. Once you’re booked for the trip you can make your travel plans and get plane tickets with 100% confidence.

Lifetime deposits

If your plans change or something unexpected comes up, your deposit is good forever. If you need to cancel, your Lifetime Deposit will stay in our files and you can use it anytime in the future. You can even give it to a friend.

Worry-free booking window

You can cancel and receive a full refund within 14-days of booking. If your vacation plans don’t come together, just let us know and we’ll refund you with no questions asked.

Cancellation Policy & Insurance

Please read the following closely. If you have any questions, please contact us anytime.

How to reserve your trip

Reserving your adventure with Boreal River is simple. Just call 1 866 242 9383 to speak with us or reserve your trip on the web through our online booking system.

If you’re not sure if a particular trip is right for you or you’re looking for more information, let us know and we’d be happy to answer your questions.

Payment schedule

If the trip is more than 90 days away, you can pay a $400 deposit to reserve your spot. Then 90 days before your trip, you pay the full balance.

If you’re booking a trip that’s less than 90 days away, your full payment is due when you book.

You can pay by credit card, wire transfer, or cheque.

Pricing, currency & taxes

All trips are priced in US dollars and we charge in US dollars. If your credit card isn’t a USS card, it’s your credit card company or bank that determines the exchange rate on the day of your transaction.

All taxes and fees are included in the price. You won’t be charged any additional taxes.

Cancellation policy

We never cancel trips because of low registration. That’s right, we guarantee your trip. We’ll only cancel a trip if our guides decide that events beyond our control are making it unsafe, or impossible to carry out the trip.

If we have to cancel a trip because of events beyond our control, i.e., natural disasters, then we give you a spot on another departure of the same trip, or a full credit to use towards any of our other trips.

In a case where we have to cancel, we’re not responsible for your related expenses (for example non-refundable plane tickets, visa fees, inoculations, equipment etc. or for any additional arrangements for other travel plans associated with this trip).

If you need to cancel your trip, please let us know as soon as possible. To avoid confusion, we require written notice of cancellation, by email, fax, or mail. You can cancel your reservation and get 100% of your money back within 14 days of booking with our worry-free booking. After that 2-week window and prior to 90-days before your trip departs, our lifetime deposit comes into effect.

Our lifetime deposit means you don’t lose your money if something unexpected comes up and you need to cancel your trip. As long as you give us 90 days notice, your deposit will be good forever. Whether you use it for the same trip at a later date or for any of our other trips.

If you must cancel your trip, our policy is as follows:

  • Within two weeks of registration you can cancel for a full refund.
  • 14 days after booking and up to 90 days before your trip – you get a lifetime deposit good for any of our trips.
  • Later than 90 days before your trip – we won’t give you a refund, unless we can find someone to fill your space. In this case, we refund you everything except for your deposit.

We highly recommend that all guests purchase trip cancellation and interruption insurance. Boreal River is not responsible for ensuring the appropriate level or amount of coverage is purchased. Please contact your travel insurance provider to ensure you have appropriate coverage for your entire trip.

Lifetime deposit

Here are some important conditions to be aware of regarding our Lifetime Deposits:

  • A Lifetime Deposit is applicable in the period after the 14-day Risk-Free Booking Window and before the 90 days prior to the scheduled departure.
  • You can transfer your Lifetime Deposit to a family member or friend of your choosing.
  • Any cancellations made within 90 days of the scheduled departure will be treated as a guest cancellation, in which case the payment will be subject to our cancellation policies.
  • A Lifetime Deposit will be granted once per guest. If a guest needs to cancel a second time, outside of the 14-day Risk-Free Booking Window, the amount of the deposit will be forfeited.
  • Private groups & customized adventures may be exempt from Lifetime Deposits.
  • The value of the Lifetime Deposit is limited to the amount of the original deposit. If the deposit requirements of the new trip being booked are higher than this amount, then the difference must be paid in order to confirm the booking.
  • If the value of the Lifetime Deposit exceeds the total value of the per person price of the new trip, there will be no credit or refund of the difference.
  • Lifetime Deposits, or any portion of them, are not refundable in cash – but you can use your Lifetime Deposit to confirm your next booking with us with no cash down, with the exception of where the required deposit on the new trip exceeds the value of the original deposit.

Guests on Boreal River Adventures trips need to have appropriate Medical insurance and Medical Evacuation insurance. Any evacuation costs will be billed to the person that is leaving the trip. Insurance should cover emergency air evacuation from the river to a local hospital (this can cost $5,000 or more), medical treatment, and repatriation to a medical care facility in your home region.

We also strongly recommend obtaining Trip Cancellation insurance, which will reimburse you for the unused portion of your Boreal River trip if you must cancel prior to departure or leave your trip early due to illness, accident, or family emergency. If you have insurance coverage from a credit card or an existing plan, please make sure that it will cover you for the above mentioned emergency situations and that you are covered while participating in whitewater activities and remote wilderness travel.

For an insurance package that will cover you for the specific situations encountered on our trips, we recommended something similar to what World Nomads offers: http://www.worldnomads.com/

Trip preparation

Once you’ve made your choice and sent in your deposit, we’ll send you a detailed document that includes everything that you will need to prepare for your tour including an itinerary, packing list, transportation options, directions, meeting times and frequently asked questions.

We will also send you a detailed questionnaire so we can prepare for your arrival. That is where you’ll let us know about your:

  1. menu choices, dietary requirements and food allergies
  2. pertinent medical history
  3. emergency contacts
  4. airport arrival details
  5. any other goals of yours you want to let us know about.

Let us know if you’re planning a birthday or anniversary trip. We’ll pack a surprise!

Guest responsibility

Although no previous experience is required on many of our trips, as with any adventure there is always an element of risk. If you have any physical limitations or concerns please let us know. As we are not qualified to evaluate your level of fitness we ask that you (possibly along with your doctor) determine whether or not you are able to join one of our adventures. If you have any special medical conditions, we encourage you to check with your doctor before you reserve your trip. Please also note that most of our trips take place in remote areas and evacuations can take a great deal of time and can be expensive.

You must also acknowledge that travel with Boreal River requires a degree of flexibility and understanding that the trip’s route, itinerary, accommodation and modes of transport are subject to change without prior notice due to local circumstances. You need to be aware that group travel may involve compromise to accommodate the diverse desires and abilities of group members. We just ask that you welcome your adventure with an open mind and be able to laugh and have fun when encountering the unexpected. Boreal River is dedicated to providing safe, environmentally sensitive, well-organized, fun-filled adventures.
